RECORD RETENTION

MasterTrak Plus Professional Office Version comes complete with a Records Retention module. If your retention is based on “Last Transaction”, then MasterTrak Plus Professional Office has a Transaction screen which will update the Last Transaction Date. Simply scan the barcode as it is placed back on the shelf to update the transaction date. By updating the transaction date, it will also give a current report of when the record was last used. This information can help your office with HIPAA compliance by maintaining audit trails of record usage and always knowing where the file is - even which storage box it is in.

DATA MANAGEMENT

MasterTrak Plus Professional Office Version allows the user to easily keep track of what files are eligible to be sent offsite or even destroyed. It will even keep track of what files are in which box, thus making file retrieval from an offsite storage company much easier. So easy, you can start managing your boxes yourself and saving offsite storage fees.

STANDARD REPORTS

MasterTrak Plus Professional Office Version comes with a Standard Report Writer with many predefined reports. One of the reports is a “Due for Archive” report. This report will give a listing of all the files whose retention date has passed. Another predefined report is a Box report. As the files are archived and placed in boxes, a listing of the boxes can be printed. There is a page break between boxes making it easy to use as a packing list for the box. Another report available is a listing of all files removed from the fi le room on a certain day. More reports are available by selecting various options.


DOCUMENT IMAGING

Easy*Image is the imaging module of the MasterTrak family. It now comes as a standard feature of the MasterTrak Plus family of products. Simply open the folder and begin scanning. The images are automatically indexed to the correct folder. Or use the batch mode feature to scan several documents then link them to the correct folder.
